Terms of Service

Please read these Terms of Service (“Terms”) carefully before using SmartSOP. By creating an account or using our platform, you agree to be bound by these Terms. If you do not agree, do not use SmartSOP.

1. About SmartSOP

SmartSOP is an AI-powered business documentation platform that helps small and medium-sized businesses generate standard operating procedures, staff handbooks, training manuals, and other business documents. The service is operated at https://smartsop.io.

2. Eligibility

You must be at least 18 years of age and have the authority to enter into a binding agreement on behalf of yourself or the business you represent. By using SmartSOP, you represent that you meet these requirements.

3. Your account

You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activity that occurs under your account
  • Notifying us immediately at legal@smartsop.io if you suspect unauthorised access

You may not share your account with others or create multiple free trial accounts to circumvent document limits.

4. Subscriptions and billing

SmartSOP offers a free trial (3 documents, no credit card required) and paid subscription plans. By subscribing to a paid plan, you authorise us to charge your payment method on a recurring monthly basis.

  • Free trial: 3 documents, no expiry, no credit card required
  • Starter: $29/month — 20 documents per month
  • Professional: $59/month — unlimited documents
  • Enterprise: $99/month — unlimited documents, custom branding, priority support

All prices are in USD. Payments are processed securely by Stripe. We do not store your payment card details.

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period — you will not be charged again, and you retain access until the period ends. We do not offer refunds for partial months.

5. Acceptable use

You agree not to use SmartSOP to:

  • Generate content that is illegal, harmful, fraudulent, or defamatory
  • Violate any applicable law or regulation
  • Infringe the intellectual property rights of others
  • Attempt to reverse-engineer, scrape, or copy our AI prompts or platform
  • Circumvent usage limits through automation, scripts, or multiple accounts
  • Resell access to the platform without our written permission

We reserve the right to suspend or terminate accounts that violate these terms without notice.

6. Your content

You retain ownership of all content you input into SmartSOP (your business information, question answers) and all documents generated for you. By using SmartSOP, you grant us a limited licence to process your content solely to provide the service.

You are solely responsible for reviewing and validating any AI-generated document before using it in your business. AI-generated content may contain errors or omissions. SmartSOP does not provide legal, compliance, or professional advice — documents should be reviewed by a qualified professional where required.

7. Intellectual property

The SmartSOP platform, including its design, code, AI prompts, and original content, is owned by us and protected by intellectual property laws. You may not copy, modify, or create derivative works from the platform.

The documents generated for you are yours to use, modify, and distribute for your own business purposes. You may not resell or sublicence AI-generated documents as a documentation product or template service.

8. Availability and changes

We aim to keep SmartSOP available 24/7 but do not guarantee uninterrupted access. We may perform maintenance, make changes, or temporarily suspend the platform with or without notice.

We reserve the right to modify these Terms at any time. We will notify you of material changes by email or in-app notice. Your continued use of SmartSOP after changes take effect constitutes acceptance of the revised Terms.

9. Disclaimer of warranties

SmartSOP is provided “as is” and “as available” without warranties of any kind, express or implied. We do not warrant that the platform will be error-free, uninterrupted, or that AI-generated documents will be accurate, complete, or suitable for any particular purpose.

10. Limitation of liability

To the fullest extent permitted by law, SmartSOP and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the platform, including but not limited to loss of profits, data, or business opportunities.

Our total liability to you for any claim arising from these Terms or your use of SmartSOP shall not exceed the amount you paid us in the 3 months preceding the claim.

11. Governing law

These Terms are governed by the laws of Australia. Any disputes shall be resolved in the courts of New South Wales, Australia. If you are a consumer in a jurisdiction with mandatory consumer protection laws, those laws may also apply.
